Inventory structure

Inventory item (e.g. "DSLR Camera")
└── Variant (optional) (e.g. "with 50mm lens", "with kit lens")

Each item — and each variant — has its own availability, daily rate, and condition.


Adding an inventory item

  1. Go to Inventory
  2. Click Add item
  3. Fill in:
    • Name — clear, descriptive (e.g. "Canon EOS R6 Camera")
    • Category — what kind of item it is
    • Description — specs, what's included in the box, usage notes
    • Condition — honest condition description
    • Images — clear photos of the actual item
    • Delivery metadata for delivery-enabled inventory:
      • delivery class
      • weight
      • dimensions / volume
      • declared value
  4. Set the daily rate and deposit (see Pricing and Security Deposit)
  5. Save

Managing variants

For items offered in configurations (with/without accessories, different sizes), add variants. Each variant has its own availability, rate, and deposit. Customers choose a variant when booking. Variants can also override the base inventory item's delivery metadata when the package profile changes.


Item images and descriptions

  • Use real photos of the actual item (not stock images)
  • Show any wear honestly in the condition notes — this protects you in damage disputes
  • Include what is and isn't included (cables, cases, accessories)

Setting availability windows

Items are available by default. To control which dates an item can be booked — blocking maintenance periods or reserving for offline bookings — use the availability calendar (see Availability Calendar Management).

To take an item off the platform entirely, mark it Unavailable in Inventory.


Preparing for a reservation

  1. Open Reservations and review upcoming outbound dates
  2. Verify item availability in the calendar
  3. Validate the reservation schedule and inspect the item's condition before it goes out
  4. Mark it ready for outbound / pickup

The reservation status moves confirmed → ready_for_dispatch (delivery) or pickup-ready.


Delivery metadata and readiness

If you offer third-party delivery, accurate inventory metadata is now part of operational readiness.

This helps the platform:

  • determine which delivery companies can handle the inventory item
  • price delivery correctly
  • support both outbound and return logistics with the right package assumptions
